The Opportunity

Stantec is seeking a Project Administrator to join our Finance team based in either Manchester, Reading or Bristol office. Supporting our Project Accounting team, you will be responsible for overall financial management of projects throughout their lifecycle by ensuring proper set up, maintenance, invoicing and project closure in accordance with the contractual requirements and with Stantec's controls, policies and practices.

 

About The Role:

The successful candidate will collaborate closely with our experienced staff within the Buildings, Infrastructure, Water and Energy teams, under the guidance of our Regional Project Accounting Manager and Lead. Comprehensive training in all processes will be provided, along with ongoing mentorship to support your development.

This role will fit in the wider Stantec Finance team, which is a strong team and operates across multiple offices across the UK, offering opportunity for future career development. The Project Administration team are very supportive of each other and collaborate closely across all our locations and anybody joining us will be given a warm welcome and our full support.

 

Tasks and Responsibilities:

  • Ownership of a portfolio of projects assigned by the Project Accounting Lead, Regional Project Accounting Manager, ensuring that projects are correctly initialised, and that transactions associated with the project are correct and processed & controlled properly in line with Stantec's group accounting policies and control standards.
  • Close collaboration with project managers to maintain integrity over an assigned portfolio of projects. This would include, for example, a good understanding of the business model, credit risk, working with the PM’s to understand the integrity of revenue and cost recognition in the EACs and support for regular project performance reviews
  • Project setup and budget change documentation, including client contract and information provided by the PM or PMA to ensure compliance with contractual requirements, internal Stantec controls (including SOX).
  • Ensure projects are setup in Oracle with the correct client approved value, billing rates and other variables required to ensure proper revenue recognition per Stantec policy.
  • Collaborate with PM and PMAs to generate, finalize and issue client invoices, ensuring accuracy and compliance with the contractual terms for each project.
  • Partner with PMs to perform ad hoc functions as requested such as subcontract tracking, preparing progress reports, managing client audits, financial analysis, write offs, monitoring accounts receivable aging and supporting collection of invoice payments, etc.
  • Support Senior Finance Team member with internal and external audit processes. Including collating documentation such as invoices, bank statements, contractual documentation plus other ad hoc project information.

  • Demonstrate excellent analytical, numerical and problem-solving skills.
  • Excellent customer service and communication skills (written and oral).
  • Strong attention to detail.
  • Strong organizational skills and working to deadlines.
  • Able to build and foster excellent working relationships
  • Adaptability and willingness to embrace change.
  • Knowledge of general contracting practices.
  • Oracle experience is an advantage.
  • SOX experience is an advantage.
